WHAT WE ARE: In November 2012, with the help of Rural Action Yorkshire, 3 Gayles residents set up the Gayles Heating Oil Co-op. It was seen as such a good idea, given the savings achieved, that first Dalton & then Kirby Hill/Whashton set up their own Oil Co-ops. However, all three co-ops order together to increase the buying power of the co-op & share the work involved as all co-ordinators are volunteers. Oil Co-op membership is open to all residents of Gayles, Dalton, Kirby Hill & Whashton and enables members to purchase heating oil 4 times a year through the Oil Co-op. Co-ordinators negotiate, on behalf of the co-op members, to secure a discount using a number of oil companies for each order. Co-ordinators are all volunteers & receive no greater benefits than any other oil co-op members. Buying in bulk not only saves the members money but also reduces the number of oil tankers on our country roads and is a more sustainable way of ordering heating oil. WHAT WE DO: n Liaise by e mail with members to organise a bulk delivery on or after a set date n Contact the oil companies to get the best price n Order oil on behalf of those who have requested oil (min 500 litres per household) WHAT WE DON’T DO : n Handle money n Issue invoices etc n Deal with your invoice queries THE CONTRACT TO SUPPLY HEATING OIL IS BETWEEN THE HOUSEHOLDER/RESIDENT & CHOSEN OIL COMPANY HOW THE OIL CO-OP WORKS: n You must first join the oil co-op in your village – see the membership document for each oil co-op which you can download & print from this page n Once you have completed & signed your membership form deliver it to the co-ordinator for your village. REMEMBER we order 4 x times /year - Nov/Feb/May/Aug. Members can also order oil at other times independently. n The week before the order dates an e mail is sent to members with a reply deadline time & date. Send an e mail to the oil co-op to tell us if you do or do not want oil. You MUST meet the deadline with your reply. n The Co-ordinators collate all the members order into a bulk order & E mail around 10 suppliers for quotes n The Co-ordinators decide on the chosen oil supplier on price alone n All members are then advised by e mail of the supplier & the anticipated delivery date IF YOU HAVE ORDERED OIL CHECK YOUR E MAILS REGULARLY until the e mail is received especially if there are access arrangements to make, for example, oil tank locked etc n The chosen supplier delivers to oil co-op members & invoices them direct. n Members are responsible for meeting the payment dates/times. n Any member whose invoice is not paid in accordance with the suppliers terms will not be able to order oil through the Oil Co-op until the balance is cleared in full.
